Jewish Camps USA (JCUSA) take your privacy very seriously and are committed to protecting and respecting your privacy.

This Privacy Policy applies to the personal information that we (JCUSA) and/or our interviewers (“Interviewers“) collect about you. Throughout the policy Jewish Camps USA may be referred to as we/us/JCUSA.

Where we refer to the Jewish Camps USA website we mean www.jewishcampsusa.com. Where we refer to the Program we mean the Jewish Camps USA program, where individuals take part in the Camp Counselor Exchange Visitor Program working at summer camps in the USA and Canada, individuals are officially hired to work at a Camp by one of the top people of the camps, Camp Directors.

Read this Policy to make sure that you understand our processes and how we manage your personal information.

 

Who does this policy apply to?

The terms of this policy applies to:

  • Camp Counsellors” – someone who registers to or applies to the Program to become a camp counsellor, and/or takes part in the Program as a camp counsellor
  • Visitors” – someone who visits and/or uses the Jewish Camps USA website but does not apply to the Program

 

Other Terms

Other terms that may apply to you:

  • Cookie Policy” – our Cookie Policy sets out the information about the cookies that are used on the Jewish Camps USA website
  • Terms & Conditions” – if you apply to be a Participant on the program, at the end of the application you will need to read, understand and sign the JCUSA Terms & Conditions.

 

Your personal data

When we collect data

We collect the following information from you:

  1. Information you give to us
  2. Information we collect when you visit the Jewish Camps USA website
  3. Information that is provided by third party organisations
1. Information you give to us

You may give us information about you:

  • When you register your interest in the Program (begin the application but not complete)
  • When you apply to take part in the Program
  • As part of the process (in any interviews you have with Interviewers or Camp Directors)
  • When you take part in the Program
  • When you send us personal information so that we can process files (such as police check, visa documents, medical insurance)
  • When you use the Jewish Camps USA website (when completing forms such as visa forms and flight forms that contain personal information)
  • If you provide feedback on the Jewish Camps USA website (or third party websites)
  • If you contact or correspond with us (by phone, e-mail or otherwise)
When applying to take part in the Program, you:
  • ​Must provide us with your name, gender, nationality, full address, phone number, email address, date of birth, picture of you, dates you are available to work, passport validity date, current education status, current work status, skills, previous volunteering experience, previous camp experience, any qualifications, previous childcare experience, the reasons why you want to work at a Jewish summer camp, your Judaism requirements (if any)
  • Must provide us with information on whether you would like to work at a Camp in Canada, a day Camp or any requests to work at camp with a friend (if applicable then you must provide a name)
  • Must provide us with details of any criminal convictions
  • Must provide us with details of any medical conditions which are relevant to your ability to take part in the Program or to get a job at a Camp, which includes details of your medical history, vaccination history and any medical or health conditions (including any disabilities)
  • Must provide us with details of your emergency contact (including their name, telephone number, email address and their relationship to you)
  • Must provide us with details of three educational and/or professional referees (including their name, telephone number, email address, and their relationship to you)
Once you have confirmed your place at Camp, you:
  • Must provide us with your passport information and proof of address so that your police background check can be processed
  • Must sign supporting documents so that we can process your J1 visa documents
  • Must provide us with your camp contract so that we can process your J1 visa documents (DS2019 and SEVIS)
When taking part or after taking part in the Program, you:
  • May provide us with information about you, for example, in any feedback, comments, or complaints you make or provide about the Program or your involvement in the Program
  • May provide us with up to date contact details to enable us to keep in touch with you and have you involved in our post-camp program
2. Information we collect when you visit the Jewish Camps USA website

Each time you visit the Jewish Camp USA website, we will automatically collect:

  • Technical information, for example, your internet protocol (IP) address, the type of device (and its unique device identifier) you use, your browser type and version, time zone setting, browser plug-in types and versions, operating system, mobile network information and platform
  • Information about your visit to the Jewish Camps USA website, including the full Uniform Resource Locators (URL), clicks to, through and from the Jewish Camps USA website (including date and time), pages you viewed, page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling and clicks), and methods used to browse away from the page
  • Cookies that are capable of identifying your device (see our Cookie Policy to understand which cookies the Jewish Camps USA website uses)

When applying to take part in the Program and/or as part of the hiring process:

  • We will obtain information about you from our Interviewers
  • We will obtain information about you from your three educational and/or professional references

when taking part or after taking part in the Program:

  • We may obtain feedback, comments or complaints about you from Camps (including Camp Directors) and/or others taking part in the Program

 

How we use your personal data

We collect personal information so that we can effectively and efficiently provide you with the best possible service. The information we process depends on your interactions with us, with our Interviewers, Camps, Camp Directors and with the Jewish Camps USA website. The information we process also depends on the choices you make, and the consents you provide. You may choose not to provide us with certain information, but if this is the case we may not be able to consider you for the Program (when sharing that information is necessary for us to do so).

  • To promote you to Camp Directors and/or to allow them to contact you

We may share your personal information with your consent or as is necessary with selected third party service providers in order to consider you for the Program and/or to secure you a job at a Camp.

We expect all third party service providers to take the appropriate security measures to protect your personal information. We do not allow our third party service providers to use your personal information for their own purposes and we only permit them to process your personal information for specified purposes in accordance with our instructions.

Why might you share my personal information with third parties?

We may share your personal information with third parties where it is necessary in order to consider you for the Program or to place you with a Camp, where required by law (background check, medical insurance and visa), or where we have another legitimate interest in doing so, that is not revoked by your interests and rights.

Who will you share my personal information with?

We will share, and in some cases, you will provide certain information about you:

  • We use Google to track your usage of the Jewish Camps USA website. We do so to improve our users’ experience of the Jewish Camps USA website

In addition, if you apply to the Program:

  • We will share certain information about you (name, age, education and/or employment history, camp and childcare experience) with Interviewers to allow them to successfully carry out accurate interviews for you to be part of the Program.
  • We will share certain information about you (name, age, education and/or employment history, camp and childcare experience, information about your health) with Camp Directors to enable them to consider potential Camp Counsellors to work at their Camps.
  • We will share certain information about your (passport details) with the CBS screening house to enable them to process your police background check.
  • We will share certain information about you (such as name, address, date of birth, full passport details) to partner organisations Cultural Homestay International, Smaller Earth Ltd, Odyssey International Group, The JCC Association, Complete Background Screening, Zapier, Monday, Gravity Forms to allow them to process your documents, to enable you to participate in the Program.
  • We will share certain information about you (name, city of birth, date of birth) with Esecutive to enable us to process your medical insurance for your duration of your time away.
  • We may share your contact details (including your name and address) with FedEx, DHL or Royal Mail, mail and logistics companies. We do so to enable them to deliver a visa pack to you to enable you to complete the visa application.

You may choose not to allow us to share certain information, but if this is the case we may not be able to consider you for the Program (when sharing that information is necessary for us to do so).

 

Retaining your information

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for.

In some circumstances we may anonymise your personal information so that it can no longer be associated with you, in which case we may use such information without further notice to you.

The following retention periods will apply, unless we inform you otherwise (or you request that we erase your information).

If you register your interest, or apply to take part in the Program but do not take part in the Program:

  • We may retain some of your personal information (including your name, email address and date of birth) for a period of five years following the date when you first completed your registration and/or application.

If you take part in the Program:

  • We will process your personal information while you take part in the Program, and may retain some of your information for up to ten years from the end of your Program.

If you fill out the reference form on the Jewish Camps USA website:

  • We will process your personal information to verify you are a valid reference for the Jewish Camps USA applicant. We may retain some of your information for up to five years but it will not be used for any marketing.

 

Transferring your information overseas

We may transfer the information we collect from you to Camps, to The JCC Association, Cultural Homestay International and other relevant third parties based in the U.S. and Canada. We do so as it is necessary for us and for Camps to consider you for the Program, and so that you can take part in the Program.

 

Children

The Program is not directed to anyone younger than the age of 16. If you learn that anyone under 16 has submitted personal information to us, please contact us and we will delete the information.

Jewish Camps USA does have a Camper program which is open to children of all ages, this must be signed off by a Parent/Guardian and Jewish Camps USA will be in touch with the Parent/Guardian about the child’s participation on the Camper program. The other sections in this privacy policy are still relevant to this and all data will only be shared with necessary parties, such as the Camp and all data will be shared securely.

 

 

Keeping your information secure

All personal information that you provide to us is stored securely.

We limit access to your information to those of our Interviewers and other third parties who have a reason to know.

Once we have received your information via the Jewish Camps USA website or email, we will use strict procedures and security features to try to prevent unauthorised access.

 

Updating and accessing your information

You have the right under data protection laws to access personal information held about you, subject to certain conditions, and to request it to be changed or deleted.

If you would like to access or amend the personal information which we hold about you, or if you would like us to stop using your personal information, please contact us.

 

Marketing

When you apply for the Program we will ask for your consent to send you information by email, SMS and/or via social media about opportunities or services of ours which may be of interest to you (including, for example newsletters and events).

We will not provide your personal information to any businesses for marketing purposes. At anytime you can change your preferences by contacting us.
