Jewish Camps USA [JCUSA] take your privacy very seriously and are committed to protecting and respecting your privacy.

This Privacy Policy applies to the personal information that we (JCUSA) and/or our interviewers (“Interviewers“) collect about you. Throughout the policy Jewish Camps USA may be referred to as we/us/JCUSA.

 

Where we refer to the Jewish Camps USA website we mean www.jewishcampsusa.com. Where we refer to the Program we mean the Jewish Camps USA program, where individuals take part in the Camp Counselor Exchange Visitor Program working at summer camps in the USA, individuals are officially hired to work at a Camp by senior camp staff, Camp Directors.

 

Read this Policy to make sure that you understand our processes and how we manage your personal information.

The terms of this policy applies to:

  • Camp Counsellors” – someone who registers to or applies to the Program to become a camp counsellor, and/or takes part in the Program as a camp counsellor
  • Visitors” – someone who visits and/or uses the Jewish Camps USA website but does not apply to the Program

 

Other Terms

Other terms that may apply to you:

  • Cookie Policy” – our Cookie Policy sets out the information about the cookies that are used on the Jewish Camps USA website
  • Terms & Conditions” – if you apply to be a Participant on the program, at the end of the application you will need to read, understand and sign the JCUSA Terms & Conditions.

 

2. Your personal data

We collect personal data at the following stages:

During registration and application

  • When you register your interest in the Program

  • When you apply to take part in the Program

  • During interviews

During participation in the Program

  • When you submit required documentation (e.g. visa documents, police checks, medical insurance)

  • During your time at camp

After participation in the Program

  • When you provide feedback, comments or complaints

  • When you update your contact details for post-Program communications

Information you must provide when applying to the Program

 

When applying to take part in the Program, you must provide personal information including:

  • Your name, gender, nationality, date of birth, contact details and full address

  • A photograph of you

  • Dates you are available to work

  • Passport validity details

  • Current education and employment status

  • Skills, qualifications, volunteering, childcare and previous camp experience

  • Your reasons for wanting to work at a Jewish summer camp

  • Any relevant religious requirements

  • Information about whether you wish to work at a day camp or alongside a friend (where applicable)

You must also provide:

  • Details of any criminal convictions

  • Details of any medical conditions relevant to your participation in the Program, including medical history, vaccination history and any disabilities

  • Emergency contact details

Once you have confirmed your place at a Camp, you must also provide:

  • Passport information and proof of address for background checks and visa processing

  • Details of three educational and/or professional referees

  • Signed supporting documents required for J-1 visa processing

  • Your Camp contract to allow us to process visa documentation, including DS-2019 and SEVIS

When taking part in, or after completing, the Program, you may also provide:

  • Feedback, comments or complaints

  • Updated contact details to enable post-Program communication


Special category personal data

Some of the personal information we collect is considered “special category data” under UK GDPR, including information relating to health, medical history, religious requirements, and criminal convictions.

We only collect and process special category data where it is strictly necessary for the purposes of the Program and where permitted under data protection law, including for safeguarding, insurance, visa compliance, and protecting vital interests.


Information we collect when you visit the Jewish Camps USA website

Each time you visit the Jewish Camps USA website, we will automatically collect:

when taking part or after taking part in the Program:

  • We may obtain feedback, comments or complaints about you from Camps (including Camp Directors) and/or others taking part in the Program

 

3. How we use your personal data

We collect personal information so that we can effectively and efficiently provide you with the best possible service. The information we process depends on your interactions with us, with our Interviewers, Camps, Camp Directors and with the Jewish Camps USA website. The information we process also depends on the choices you make, and the consents you provide. You may choose not to provide us with certain information, but if this is the case we may not be able to consider you for the Program (when sharing that information is necessary for us to do so).

We may share your personal information with your consent or as is necessary with selected third party service providers in order to consider you for the Program and/or to secure you a job at a Camp.

We expect all third party service providers to take the appropriate security measures to protect your personal information. We do not allow our third party service providers to use your personal information for their own purposes and we only permit them to process your personal information for specified purposes in accordance with our instructions.

 

Why might you share my personal information with third parties?

We may share your personal information with third parties where it is necessary in order to consider you for the Program or to place you with a Camp, where required by law (background check, medical insurance and visa), or where we have another legitimate interest in doing so, that is not revoked by your interests and rights.

Who will you share my personal information with?

We will share, and in some cases, you will provide certain information about you:

  • We use Google to track your usage of the Jewish Camps USA website. We do so to improve our users’ experience of the Jewish Camps USA website

In addition, if you apply to the Program:

  • We will share certain information about you (name, age, education and/or employment history, camp and childcare experience) with Interviewers to allow them to successfully carry out accurate interviews for you to be part of the Program.
  • We will share certain information about you (name, age, education and/or employment history, camp and childcare experience, information about your health) with Camp Directors to enable them to consider potential Camp Counsellors to work at their Camps.
  • We will share certain information about your passport details with the CBS screening house to enable them to process your police background check.
  • We will share certain information about you (such as name, address, date of birth, full passport details) to partner organisations Odyssey International Group, The JCC Association, LifeTraveled, Complete Background Screening, Zapier, Monday, Calendly, Gravity Forms, Zoom, JotForm to allow them to process your documents, and to enable you to participate in the Program.
  • We will share certain information about you (name, city of birth, date of birth) with Esecutive to enable us to process your medical insurance for your duration of your time away.
  • We will interview you over Zoom or in person. If on Zoom we may decide to record your Zoom call, if this is the case Zoom will alert you. The recordings are used to provide you with the best camp experience.

You may choose not to allow us to share certain information, but if this is the case we may not be able to consider you for the Program (when sharing that information is necessary for us to do so).

 

Retaining your information

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for.

In some circumstances we may anonymise your personal information so that it can no longer be associated with you, in which case we may use such information without further notice to you.

The following retention periods will apply, unless we inform you otherwise (or you request that we erase your information).

 

If you register your interest, or apply to take part in the Program but do not take part in the Program:

  • We may retain some of your personal information (including your name, email address and date of birth) for a period of five years following the date when you first completed your registration and/or application.

If you take part in the Program:

  • We will process your personal information while you take part in the Program, and may retain some of your information for up to ten years from the end of your Program.

If you fill out the reference form on the Jewish Camps USA website:

  • We will process your personal information to verify you are a valid reference for the Jewish Camps USA applicant. We may retain some of your information for up to five years but it will not be used for any marketing.

 

Transferring your information overseas

Where personal data is transferred outside the UK, we take appropriate safeguards to ensure it remains protected in accordance with UK data protection laws, including the use of contractual protections and other lawful transfer mechanisms where required.

We may transfer the information we collect from you to Camps, to The JCC Association, Odyssey International Group, LifeTraveled and other relevant third parties based in the US. We do so as it is necessary for us and for Camps to consider you for the Program, and so that you can take part in the Program.

 

Children

The Program for working at camp is not directed to anyone younger than the age of 17. 

Jewish Camps USA does have a Camper program which is open to children of all ages. This is for children, and their parents, interested in attending camp as an attendee and not to work.

Parental consent is required before any data is collected. This must be signed off by a parent or legal guardian and Jewish Camps USA will be in touch with the parent or legal guardian about the child’s participation on the Camper program. The other sections in this privacy policy are still relevant to this and all data will only be shared with necessary parties, such as the Camp and all data will be shared securely.

 

Keeping your information secure

All personal information that you provide to us is stored securely.

We limit access to your information to those of our Interviewers and other third parties who have a reason to know.

Once we have received your information via the Jewish Camps USA website or email, we will use strict procedures and security features to try to prevent unauthorised access.

 

Updating and accessing your information

Data protection laws and your right to complain

Jewish Camps USA processes personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

You have certain rights under data protection law in relation to the personal information we hold about you. These include the right to access your personal data, to request that inaccurate or incomplete personal data is corrected, to request that your personal data is erased in certain circumstances, to restrict or object to our processing of your personal data, and to request the transfer of your personal data to another organisation, where applicable.

When you apply for the Program we will ask for your consent to send you information by email, SMS and/or via social media about opportunities or services of ours which may be of interest to you (including, for example newsletters and events).
